VibeFox Netopia for WooCommerce — Help

Requirements

WordPress: 6.0 or later.

WooCommerce: 7.0 or later, installed and active.

PHP: 8.0 or later with the OpenSSL and DOM extensions.

Currency: the store or order currency must be RON, EUR, USD or GBP. EUR, USD and GBP must be enabled on your Netopia account. For other currencies the payment method is hidden at checkout.

Netopia account: you need a Netopia Payments seller account with a point of sale. From its technical settings you need the account signature and, for each environment you use (sandbox and live), the public certificate (.cer) and the private key (.key). Nothing has to be set up on the Netopia side: the IPN address is sent with every payment request.

Public site: the IPN (confirm) URL must be reachable from the internet, not behind a login, basic authentication or maintenance page. Orders are updated only by the Netopia IPN.

VibeFox license key: bought on vibefox.net. One key works on one domain.

Installation

1. In WordPress go to Plugins > Add New > Upload Plugin, choose the plugin ZIP file and click Install Now. You can also upload the wcp_netopia_gateway folder to /wp-content/plugins/ by FTP.

2. Click Activate.

3. Open the settings: WooCommerce > Settings > Payments > Netopia Payments > Manage, or click Settings under the plugin name on the Plugins page.

4. Enter your VibeFox license key in the license block at the top of the page and click Activate.

5. In the Netopia admin open your point of sale, copy the account signature and download the certificate and private key of the sandbox and of the live environment. Paste the signature and the full file contents into the settings (see Configuration).

6. Turn on Enable/Disable. Test a payment in sandbox mode, then untick Test mode to take real payments.

Configuration

All settings are on one page: WooCommerce > Settings > Payments > Netopia Payments. Above the fields the page warns you when the account signature, certificate or private key of the active environment is missing (the payment method is then hidden at checkout), and shows Test mode is on: payments go to the Netopia sandbox and no real money is charged. while test mode is on. In the list of payment methods, Netopia is marked as needing setup until the active environment is complete. When you save, an invalid certificate or private key is rejected with an error and the previous value is kept.

IPN (confirm) URL

Shown read-only at the top of the settings. It looks like https://your-site/wc-api/netopia_payment_callback/. It is sent with every payment request as the confirm URL, so you do not need to enter it in the Netopia admin. Netopia sends the IPN to this URL; the plugin decrypts it with the private key of the active environment and checks your account signature and the payment request. Netopia reports these actions:

confirmed: the payment was made and captured. The order is marked paid.
paid: the payment is authorized (pre-authorization). The order goes on hold until you capture it in the Netopia admin.
confirmed_pending, paid_pending: the payment is under review at Netopia. The order goes on hold.
canceled: the payment was cancelled. An unpaid order is cancelled.
credit: a refund was made in the Netopia admin. It is recorded as a WooCommerce refund.

A notification with a Netopia error code (for example a declined card) marks an unpaid order as failed. Notifications that cannot be decrypted, carry another account signature or do not answer a payment request of that order are rejected and change nothing.

Checkout

Enable/Disable: Enable Netopia Payments turns the payment method on or off. Default: off.

Title: the payment method title shown at checkout. Default: Card Payment (Netopia).

Description: the payment method description shown at checkout. Default: Pay securely with your credit or debit card via Netopia.

Netopia account

In the Netopia admin go to Seller accounts > your point of sale > Technical settings: copy the account signature and download the public certificate (.cer) and the private key (.key) of each environment. Open the files in a text editor and paste their full content, including the BEGIN/END lines.

Account signature: the seller account signature (format XXXX-XXXX-XXXX-XXXX-XXXX), the same for sandbox and live.

Test mode: Use the Netopia sandbox (sandboxsecure.mobilpay.ro) and the sandbox keys. It switches the payment page and the key pair. Default: on. Disable it to take real payments with the live keys.

Sandbox public certificate (.cer): the content of the sandbox public certificate file. It is used to encrypt the payment request.

Sandbox private key (.key): the content of the sandbox private key file. It is used to decrypt the IPN. It is never shown again after saving; the field shows A private key is saved. Leave it empty to keep the saved key, or paste a new key to replace it.

Live public certificate (.cer): the content of the live public certificate file.

Live private key (.key): the content of the live private key file. It is never shown again after saving; leave it empty to keep the saved key.

Orders

Order status after payment: the status of a paid order that needs shipping. Orders with only virtual or downloadable items are completed by WooCommerce anyway. The status is set with one status change and one customer e-mail.

Processing: the WooCommerce default (default).
Completed: every paid order becomes Completed.

Advanced

Debug log: Log requests and IPN processing writes to WooCommerce > Status > Logs, source wcp_netopia_gateway. Card data, keys and customer details are not logged. Errors, for example rejected IPNs, are always logged, even when the option is off. Default: off.

Delete data on uninstall: Remove the gateway settings and logs when the plugin is deleted (orders are kept). Default: off.

Checkout

The customer chooses the payment method (by default Card Payment (Netopia)) and places the order. The next page shows Redirecting you to Netopia for secure payment… and sends the customer to the Netopia payment page automatically, with the buttons Proceed to payment and Cancel order as a fallback. The payment request is encrypted with your Netopia certificate and contains the order total in the order currency, Order # with the order number, and the billing and shipping contact details. In sandbox mode the request goes to the Netopia sandbox.

The customer pays by card on the Netopia page and returns to the order received page of your store. The return itself does not mark the order paid. The order is marked paid only after Netopia confirms it by the IPN. Until then the order received page shows Netopia has not confirmed your payment yet. You will receive an e-mail as soon as the payment is confirmed. For an order on hold it shows Your payment is awaiting confirmation. We will e-mail you as soon as the order is confirmed. If the payment was cancelled, it shows The payment was cancelled at Netopia, so this order was cancelled. You can place a new order at any time.

If the card is declined, the order is marked failed and the customer can pay it again from the order page. If the plugin is not set up correctly, the payment page shows Netopia gateway is not configured properly. Please contact the store administrator.

The payment method works on the classic checkout, on the Checkout block and on the Pay for order page. It is compatible with WooCommerce High-Performance Order Storage (HPOS).

The plugin takes card payments through the Netopia v1 card protocol only. It has no refunds or capture from WooCommerce, no saved cards or one-click payments, no subscriptions, installments, SMS, bank transfer or crypto payments, and no Netopia API v2.

Orders and refunds

Order statuses

Pending payment: the customer was sent to Netopia, or Netopia has not sent the IPN yet.

Processing or Completed: Netopia confirmed the payment. The status follows Order status after payment. The order note shows the amount, the masked card number and the Netopia transaction; sandbox payments are marked [sandbox]. The transaction ID is the Netopia transaction.

On hold: the payment is a pre-authorization waiting for capture in the Netopia admin, or it is under review at Netopia. The order is marked paid when Netopia confirms it. An order is also put on hold when the invoice amount or currency differs from the order, when only part of the payment was captured, or when Netopia confirmed the payment of a cancelled order. The order note explains it. Check the transaction in the Netopia admin and complete or refund the order manually.

Failed: Netopia reported an error, for example a declined card. The customer can pay again.

Cancelled: Netopia cancelled the payment, or the customer clicked Cancel order before going to Netopia.

Late notifications never downgrade a paid order. If Netopia confirms another payment for an order that is already paid, a note asks you to refund the duplicate in the Netopia admin.

Refunds

Refunds are not made from WooCommerce: the Netopia v1 card protocol has no refund call, so there is no Refund via button. Refund the transaction in the Netopia admin. Netopia then sends a credit IPN, and the plugin records the refund on the order automatically with the reason Refund initiated by Netopia. Partial refunds keep the order status; when nothing is left to refund, WooCommerce marks the order Refunded. For EUR, USD and GBP orders the refunded amount, which Netopia reports in RON, is converted back to the order currency. A refund is never recorded twice and never for more than the remaining amount. Stock is not restocked automatically.

License key

The plugin works with a VibeFox license key from vibefox.net. The license block is at the top of WooCommerce > Settings > Payments > Netopia Payments. Paste the key into License key and click Activate. The block shows the status, for example the date the license is active until and your domain. Use Check now to check the status again, Change key to enter another key and Remove key to remove it from this site. The link Manage licenses and domains in your account opens your vibefox.net account.

One key works on one domain. Removing the key from a site does not free its domain slot. Free the slot in your vibefox.net account.

Without an active key, Netopia is not shown to customers at checkout. If a payment is started anyway, the customer sees This payment method is not available. Please choose another one. Logged-in store managers still see the payment method, marked (unlicensed — visible to admins only), so you can set up and test the plugin before you buy a key. A reminder appears on the Plugins page and on WooCommerce pages. Existing orders are not affected: payments already started are still confirmed, and refunds made in the Netopia admin are still recorded.

When a license expires, the plugin keeps working, but updates and support need a renewal. The status is checked again automatically in the background.

Troubleshooting

Netopia does not appear at checkout: check that the license is active, Enable/Disable is on, the active environment is complete (Account signature plus the certificate and private key of the sandbox in test mode, or of live in live mode) and the store or order currency is RON, EUR, USD or GBP. The settings page shows a warning when something is missing.

The payment went through, but the order stays Pending payment: the IPN did not reach your store or was rejected. Check that the IPN (confirm) URL from the settings is reachable from the internet (no maintenance mode, basic authentication or firewall). Turn on Debug log and look for IPN lines in WooCommerce > Status > Logs, source wcp_netopia_gateway. The customer's return alone never marks the order paid.

Log shows failed decrypting data: the private key does not match the certificate of the environment Netopia used. The IPN is decrypted with the key of the active environment and, for payments started before test mode was switched, with the key of the other environment. Netopia retries it.

Log shows signature mismatch: the Account signature differs from the point of sale that sent the IPN. Copy it again from the Netopia admin.

Log shows unknown payment request: the IPN does not answer a payment request your store made for that order in that environment (sandbox or live). Nothing is changed.

Log shows gateway not configured: the private key or the account signature is missing. Netopia retries the IPN, and the payment is recorded once the settings are complete.

Error on save about the certificate or private key: the pasted text is not a valid certificate or key. Paste the full file content including the BEGIN/END lines. The previous value was kept.

Order is On hold after payment: read the order note. The payment may be a pre-authorization or under review, the amount or currency differed, only part was captured, the order had been cancelled, or a sandbox payment was confirmed while the store is in live mode (no real money was received). Check the transaction in the Netopia admin.

A refund made in Netopia does not appear on the order: the credit IPN did not reach the store or was rejected. Check the log. If needed, create a manual refund in WooCommerce.

The license block shows an error: follow the message in the block. For example, if the key is already used on another domain, free a slot in your vibefox.net account and click Check now. If the site address changed, click Check now to activate the key for the new domain. If the license server cannot be reached, the plugin keeps working on the last known status.

Uninstall

Deactivating the plugin keeps all data. To remove it, deactivate and delete it on the Plugins page. The license key and license status of this plugin are always removed. The gateway settings, including the saved keys, and the logs are removed only if Delete data on uninstall was on. Otherwise they stay for a later re-install. Existing orders keep their payment notes and transaction IDs.
